As the Regional Facilities Manager you will take responsibility for the overall facilities management of our properties within their designated region.
Working collaboratively with operational and H & S colleagues on site, you will be responsible for, and hold key relationships with the facilities management supply chain. This is with a view to not only driving legal compliance across the portfolio but bringing about operational efficiencies ensuring our key stakeholders see little to no impact from facilities issues that arise across the estate.
In conjunction with the above, the Regional Facilities Manager will provide a support structure for supplier queries, facilitating site needs from our shared services teams such as finance, procurement, & projects to ensure seamless services are provided in both BAU and ad-hoc projects.
You will be flexible, and willing to respond to the needs of 24-hour operation in terms of working hours.
This role involves travel to both sites in your regional area and occasional travel our other sites located across the UK and off-site meetings. Therefore, a driving licence is essential, a company car choice is available with this role.
Your region would be from Nottingham covered up to Glasgow, with locations such as Birmingham, Leeds, and Bolton.
Operational & Service Delivery
- Undertake a monthly full site inspection to assess property condition, ways of working and ensure PPM as well as remedial standards have been upheld on any works undertaken.
- Collaborate on H&S audits with SHE Exec and undertake monthly HS152 & HS153 FM audits for office space and equivalent for depots to manage site compliance.
- Ensure the facilities are well-maintained and conduct proactive checks and site walk arounds on each visit.
- Manage and allocate office space in conjunction with the Property & Project Management team.
- Budgetary oversight and tracking of FM spend to ensure cost effectiveness.
- Ops & Projects liaison for all logistics works / changes on site from minor works to large scale project support.
- Maintenance reviews to manage the upkeep of equipment under the FM contract ensuring sufficient visits are undertaken and overseeing the FM PPM Planner & Waste Visit Planner.
- Manage the waste requirements for site, ensuring compliant storage or holding until collection and co-ordinate with the waste removal contractor.
- Review utilities consumption at a site level and strive to minimise costs.
- Own facilities-related operational emergencies.
- Ensure facilities meet the compliance standards and government regulations in collaboration with the SHE Exec on site.
- Produce reports & presentations to support wider business function from site level recommendations to incident management & inflight project updates.
- Prepare any supporting or tender documentation as well as being well versed in the procurement process.
- Manage and lead operational changes to ways of working on site in coordination with the H&S and Operations teams.
Stakeholder Engagement & People Management
- Act as relationship manager and escalations point for all contracted works co-ordinating with H&S for RAMS sign off and ensuring quality control sign off for any works completed on site.
- Support on lease management and liaison between Whistl and landlord managing agents, surveyors and insurers.
- Manage monthly site meetings with key supply chains.
- Assist and support the Head of Facilities on future property development in line with strategic business objectives.
- Drive overarching communications on all facilities matters, ensuring detail from site level contacts such as SHE Execs & Depot Co-ordinators is captured. Ensure these regular updates are circulated.
Collaborative Tasks
- Ensure control of contractors, sub-contractors & job registration forms and liaise with site administration for facilities management.
- Maximise site waste management opportunities through periodic reviews.
- Collaborate on SHE and facilities self-audit & compliance checks, highlighting and addressing any failures or poor practice concerns across the sites.
- Manage the site facilities ensuring all works are completed on time and the correct paperwork is maintained by site staff.
- Co-ordinate and monitor the work of cleaning and facilities management contractors on-site to ensure they meet SLA’s, escalating issues to the Op’s Manager or H&S team as appropriate.
Essential Skills
- 2 – 3 years minimum experience in a relevant field or sector such as facilities, estate, property or office management.
- Associate or Member of IWFM.
- Good understanding and use of Microsoft Office suite
Desired Skills
- NEBOSH Certificate.
- IOSH Working or Managing Safely Level 3 Award in Health and Safety.
- Experience using E-logbooks or widely used CAFM Systems.
