Securitas have an excellent opportunity for a Front of House Receptionist / Administrator to join the front of house team on site, on a part-time basis.
Reception is a high profile responsibility due to the fact that the Reception is invariably the first point of contact that any visitor to the site has of the company. As a result of this the Receptionists are to regulate themselves accordingly and ensure that their conduct and appearance is of a very high standard at all times, additionally they are to ensure that the appearance and control of their environment is of the same high standard. Any defects or issues affecting the smooth running of the reception area are to be brought to the attention of the Duty Officer.
Working Monday, Thursday and Friday 07:30 to 13:00 / Tuesday and Wednesday 08:00 to 13:00 = 26.5 hrs p.w

*Please note that due to the nature of this opportunity candidates must be able to achieve Baseline Personnel Security Standard (BPSS) and Security Check (SC) Clearance*
Your Responsibilities will include:
- To meet and greet all visitors to the site and control access and pass issue using computerised booking-in visitor system.
- To deal with all queries and problems that arise in the general day to day running of the reception including answering and dealing with telephone and email enquiries.
- Contacting nominated hosts and liaising with all departments, as required, to ensure that the correct level of access is in place and those who require escorting are done so.
- Receiving prohibited items from visitors for safe keeping.
- Associated administration with visitor requests and enquiries; vehicle hire, taxi’s, postal deliveries, processing internal mail, etc.
- Process and maintain the issue of identity cards, or different types of passes, for all categories of personnel and to maintain, protect and control the relevant database holding such detail.
- Monitoring and keeping up to date with outstanding badges and car passes.
- Reporting and recording any irregularities.
- Booking people in for photos and checking clearance status of individuals as required.
- Maintain car key logs.
In addition to the above a receptionist will provide an admin support role to the function of security administration, which may include the following:
- Checking e-mails daily for visits requests.
- Entering visits onto the diary – informing reception of special requirements for visits e.g. VIP’s/large groups etc.
- Receiving and processing application forms for site passes.
- Accurately entering foreign national security details on the visits database.
- Receiving and processing applications to travel abroad on business.
- Having a basic knowledge through the understanding of all aspects of International Visits Procedures in order to be able to provide cover for sickness, short notice absences and annual leave.
- Filing and maintaining the vetting records.
- As previously listed the management of the pending file which the reception are to support.
- Assisting with and completing the vetting process for new starters; employees and contractors alike in line with HMG Baseline Personnel Security Standards (BPSS).
